Rental Agreement for the Common Room Heekweg 12

Between the landlord (Studentenforum-Heekweg e.V., Heekweg 12-14, 48161 Münster) and the tenant, the following usage agreement is made for the use of the common room at Heekweg 12 for a private event. The tenant accepts the following rental terms:

  1. Condition of the Room

    • Any defects in the condition or cleanliness of the room must be documented by photo before the event begins and reported to the landlord.
    • The tenant agrees to handle the inventory with care, dispose of garbage properly, and leave the room clean before returning the keys. This includes cleaning the toilet.
    • The room and inventory must be left in the same condition in which they were found. Damage or theft of inventory is prohibited.
  2. Liability

    • The tenant is liable to the Studierendenwerk Münster and the Studentenforum Heekweg e.V. for any damages caused by their own actions or the actions of their guests to the property of the landlord.
  3. Consideration for Neighbors

    • The tenant agrees to maintain house peace and show consideration for the residents.
    • After 10 p.m., the noise level must be reduced to room volume.
  4. Alcohol and Illegal Substances

    • The tenant agrees to ensure that no alcoholic beverages are served to minors and no illegal substances are consumed during the event.
  5. Deposit and Usage Fee

    • A deposit will be collected, which may be used to cover any damages. The claim for damages may exceed the deposit.
    • The deposit will be refunded if the room is left without damage. Failure to clean or separate waste properly will be considered damage.
    • Additionally, a non-refundable usage fee will be charged. Both the deposit and the usage fee must be received in the agreed account of the Studentenforum Heekweg e.V. before the keys are handed over.
  6. Participant Limit

    • For safety reasons, the number of participants in the event is limited.
  7. Key Return

    • The key must be returned by the agreed-upon time. If no time has been agreed, the key must be returned no later than 24 hours after being handed over.
  8. Validity of the Contract

    • This contract becomes valid once the landlord confirms it in writing (via email or WhatsApp).
  9. No Smoking

    • Smoking is strictly prohibited in all rooms.
  10. Use of Technical Equipment

    • The tenant agrees to use technical equipment (e.g., projectors, sound systems) properly and return it to its original state after the event. The tenant is liable for damages unless they were present before use.
  11. Insurance and Liability

    • The tenant is liable for all personal and property damages in connection with the use of the room and the event. The tenant confirms that they have personal liability insurance.
    • The landlord is not liable for loss or damage to personal belongings brought by event participants.
  12. Use of Outdoor Areas

    • If outdoor areas are used, consideration must be shown to neighbors, and noise protection regulations must be observed.
    • Barbecuing or open fires are only allowed with the express permission of the property manager.
    • The tenant is responsible for cleaning the outdoor areas.
  13. Event Cancellation

    • If the tenant cancels the event, a cancellation notice of 72 hours before the event start applies. In the case of later cancellation, the landlord reserves the right to withhold the usage fee. The deposit will be refunded in any case if no damage is present.
  14. House Rules

    • In case of gross violations, especially noise disturbances or property damage, the landlord may end the event without refund of fees and deposit.
    • The landlord reserves the right to exclude the tenant from future rentals in justified cases.
  15. Data Protection

    • The tenant agrees that personal data will be used for the purpose of handling the rental agreement. This data will not be shared with third parties.
  16. Special Rules for the Bar

    • The maximum number of participants is 50 people.
    • The deposit is €250.
    • The usage fee is €40.
    • The use of the sound system and pool table is not permitted.
  17. Special Rules for the Cinema

    • The maximum number of participants is 40 people.
    • The deposit is €250.
    • The usage fee is €10.
    • The event must be intended for the consumption of media and socializing. Use for a party (for example, with the consumption of larger amounts of alcohol) is not permitted in this room.
  18. Special Rules for the Common Kitchen

    • The maximum number of participants is 15 people.
    • The deposit is €250.
    • The usage fee is €10.
